1) Manifests with Batch Details
Every delivery has a manifest that lists:
- Item types and counts (e.g., meal packs, bottled water)
- Batch or lot identifiers where available
- Distribution window (date/time range)
Why it matters: manifests create a traceable paper trail from purchase to hand-off.
2) Partner Confirmations from the Field
Vetted partners confirm:
- What was delivered and in what quantities
- Where the hand-off occurred (described in ranges rather than precise pins)
- Any substitutions (e.g., chickpeas instead of beans) due to stock changes
Why it matters: independent confirmations reduce error and catch discrepancies early.
3) Privacy-Safe Evidence (Only When Safe)
When it does not create risk, we collect:
- Non-identifying photos (sealed boxes, labels, manifests, hands—not faces)
- Redacted documents (supplier invoices, transport slips)
- Short notes from coordinators (first name or role only)
What we avoid:
- Faces, exact locations, and timestamps that could endanger families or volunteers
4) Spot Checks and Reconciliations
- Quantity spot checks against vendor invoices
- Random follow-ups on batch codes
- Reconciliation if counts don’t match (we publish corrections in the update log)
5) What We Publish Publicly
On our Transparency page you’ll see:
- Delivery update IDs (e.g., “Delivery #1023”)
- Date/time ranges, high-level area, and item totals
- Cost summaries (procurement, packaging, transport, last-mile)
- Notes on substitutions or delays
Anything that could identify recipients or volunteers is redacted.
6) Handling Delays and Route Closures
If a planned route closes:
- We queue funds for the first safe window
- We attempt equivalent substitutions to keep nutrition levels consistent
- We post a status note so donors know what changed and why
7) Requests for Additional Documentation
Larger gifts may request extra documentation. We review requests case-by-case to balance transparency with safety and compliance. Start by replying to your receipt.
